About these terms
These Membership Terms apply to applications for and use of membership associated with Blues Bar at Cogenhoe United Football Club, Compton Park, Brafield Road, Cogenhoe, Northampton, NN7 1ND.
By applying for membership, an applicant confirms that the information supplied is accurate and agrees to comply with these Membership Terms and the applicable Constitution, Club Rules and policies of Cogenhoe United Football Club.
Submitting an application or paying a membership fee does not automatically create membership.
All applications remain subject to the Club's membership admission and approval process.

Membership options
The Club offers two annual Family Membership rates. Both cover up to two adults living at the same address together with their dependent children under 18.
Club-Associated Family Membership — £5 per year. This reduced rate is available where the family is genuinely associated with Cogenhoe United through a registered player or their parent or guardian, a coach or team official, a Club volunteer, a Club employee or a committee member.
Community Family Membership — £10 per year. This rate is for families who are not currently associated with Cogenhoe United through one of the categories above.
Each adult included within either Family Membership will have their own identifiable membership record, membership number and digital membership credential where applicable.
Dependent children may be recorded against the Family Membership for appropriate administrative purposes but remain subject to the Club's safeguarding, supervision and age-related requirements.
The Club may request and check reasonable information to confirm eligibility for the reduced Club-associated rate. Selecting the £5 option does not itself establish eligibility, and an application cannot be approved at that rate until the claimed connection has been verified by an authorised administrator.

Event Guests are not members
A ticket or reservation for a named organised event may admit a person as an Event Guest under the separate Event & Guest Access Policy.
An Event Guest is not a member or any form of short-term member. Their booking does not allocate a CUFC membership number or card, begin or shorten the waiting period, or confer continuing access or membership rights.
If an Event Guest later wishes to become a member, they must make a separate application through the normal approval process.

Membership applications
Applications must normally be submitted through the Club's approved membership system. Anyone who needs an accessible alternative may contact the Club for assistance.
Applicants must provide the information reasonably requested by the Club, which may include:
- full name;
- date of birth;
- home address;
- telephone number;
- email address;
- membership type;
- the type and details of any claimed Club connection where the reduced £5 rate is selected;
- details of adults and dependent children included within a Family Social Membership; and
- required declarations and acknowledgements.

Membership payment
Once the Club confirms that live online applications and payments are open, the applicable annual fee is payable as part of the application process: £5 for Club-Associated Family Membership or £10 for Community Family Membership.
Online payments may be processed through the Club's approved payment provider. The Club will not invite applicants to make an online payment until its live payment facilities are enabled.
Payment is collected during the application process so that an applicant who is subsequently approved does not need to return and make a second payment.
Payment of the membership fee does not constitute approval or admission to membership. Payment and membership approval are separate processes.
The payment will be recorded against the application while the application remains Pending.

Minimum waiting period
All new membership applications are subject to a minimum waiting period of two days before membership privileges may be granted.
The Club's administration system records the application date and time and calculates the earliest date and time at which membership may become active.
An application cannot be activated before the applicable minimum waiting period has expired.
Expiry of the waiting period does not automatically approve an application. It means only that the application has become eligible for consideration and activation, subject to the Club's approval process.

Membership approval
Following expiry of the minimum waiting period, an application may be considered by the Club Chairman, Club Secretary or another person formally authorised by the Club to undertake membership approvals.
Within the website administration system, recorded assignment of the Full Administrator or Membership Administrator role by the protected Main Administrator constitutes formal system authorisation to use the membership approval function. This technical authorisation does not grant wider powers beyond the Club's proper governance arrangements.
The authorised decision-maker may approve the application, request further information, leave it Pending while enquiries are completed, or reject it.
The website and membership administration system must not automatically make the substantive decision to admit somebody to membership.

When membership starts
Membership begins only when all of the following conditions have been met:
- the application has been properly submitted;
- the required membership fee has been successfully paid;
- the minimum waiting period has expired;
- where the £5 Club-associated rate was selected, the claimed Club connection has been verified;
- the application has been approved by an authorised person; and
- the membership has been activated within the membership system.

Membership duration
Membership lasts for 12 months from the activation date.
For example, membership activated on 13 June 2026 is due for renewal on 13 June 2027.
Membership does not operate according to the football season or a fixed Club-wide annual renewal date unless the Club formally changes the membership scheme.

Membership numbers
Each adult member will be allocated a unique membership number or identifier. The Club's current format is sequential, for example CUFC-0001, CUFC-0002 and CUFC-0003.
Membership numbers remain associated with the member's record and should normally be retained on renewal rather than replaced each year.
Membership numbers must not be transferred to another person.

Digital membership cards
Approved members may be issued with a digital membership card. The card may display:
- member name;
- membership number;
- membership type;
- expiry or renewal date;
- QR code or other verification identifier; and
- current membership status.

Family membership administration
A Family Social Membership is one annual subscription covering the eligible people recorded against that membership. Each adult is nevertheless separately identifiable within the Club's membership system.
One adult will normally act as the Lead Applicant or Primary Contact. They are responsible for ensuring that information they provide about other family members is accurate and that they are authorised to provide it.
Changes to the people covered by a Family Social Membership must be notified to the Club.
Adding a new adult to an existing Family Social Membership does not automatically grant that person immediate membership privileges where the Club's normal admission requirements still need to be completed.

Children and young people
Dependent children under 18 may be recorded as part of an eligible Family Social Membership.
Family Social Membership does not remove or override any Club requirement concerning parental or guardian responsibility, appropriate supervision, safeguarding, age restrictions, licensed premises or alcohol.
A person under 18 is not entitled to purchase alcohol. The Club operates Challenge 25, and anyone who appears under 25 may be asked to provide acceptable photographic identification when purchasing alcohol.

Guests
Members may introduce genuine guests in accordance with the Club's applicable guest arrangements, Constitution, Club Rules and licensing requirements.
Guests may be required to register through the Club's Guest Register. The system may record the guest's name, host member, arrival and departure times, relevant event or activity, and other information reasonably required for administration.
Guest admission remains subject to applicable Club Rules, capacity, safety, safeguarding, licensing requirements and management arrangements.

Guests applying for membership
A guest may choose to apply for membership while visiting the Club. Where the system allows it, appropriate information already provided during guest registration may be used to pre-fill the membership application.
The guest remains a guest for their current visit. Starting or paying for a membership application does not make them an immediate member.

Membership renewal
Members may renew their membership before the existing membership expires. The Club may send renewal reminders before the renewal date.
Club-Associated Family Membership currently renews at £5 per year and Community Family Membership at £10 per year, subject to continued eligibility and any properly notified future change.
Renewal should normally preserve the existing membership number and membership history. The Club may require members to confirm or update their personal information when renewing.

Expired membership
Where membership is not renewed, its status may become Expired.
An expired membership must not be represented by the verification system as Active. Membership privileges requiring active membership cease while it remains expired.
Historical records may be retained where appropriate in accordance with the Club's Privacy Notice and records-retention arrangements.

Rejected applications
The Club is not obliged to approve every membership application.
An application may be rejected where the authorised decision-maker reasonably determines that admission would be inappropriate under the Club's applicable membership arrangements, Constitution, Club Rules or other legitimate requirements.
A rejected applicant does not become a member and must not receive an active membership credential.

Refund where an application is rejected
Where a new applicant has paid the membership fee and the application is subsequently rejected, the membership fee will be refunded in full through the appropriate payment method.
The Club's administration system records Rejected → Refund Required → Refund Processing → Refunded and retains the appropriate payment or refund reference and date.
The time taken for funds to appear back in the applicant's account may depend on the payment provider and their bank or card provider.

Member conduct
Members and their guests are expected to behave responsibly and respectfully while using Cogenhoe United Football Club and Blues Bar. Members must comply with:
- the Constitution and Club Rules;
- these Membership Terms;
- safeguarding requirements;
- licensing and Challenge 25 requirements;
- health and safety and fire-safety requirements;
- reasonable instructions from authorised Club personnel; and
- other applicable Club policies.

Alcohol and licensed premises
Membership does not create an unconditional entitlement to purchase or consume alcohol.
Alcohol will only be supplied in accordance with applicable licensing requirements and Club procedures. The Club may refuse the sale of alcohol where appropriate.
Anyone appearing under 25 may be required to provide approved photographic identification. The Club's licensing obligations take precedence over membership privileges.

Refusal of entry
Membership does not create an unconditional right of entry to the premises. Entry or access may be restricted where reasonably necessary because of:
- capacity, safety or safeguarding;
- licensing requirements;
- private functions or ticketed events;
- temporary closure;
- serious misconduct or suspension; or
- another legitimate operational or legal requirement.

Suspension and membership review
Where there is a serious concern involving conduct, safety, safeguarding, licensing, misuse of membership or another significant breach of Club Rules, membership may be temporarily suspended while the matter is considered.
Suspension is not necessarily a final decision. Where appropriate, the matter will be dealt with under the Club's applicable Constitution, Club Rules or disciplinary arrangements.
The website administration system does not create disciplinary powers beyond those properly held by the Club under its adopted governance arrangements.

Ending membership and cancellation rights
A member may choose not to renew or may ask the Club to end their membership.
Ending membership voluntarily does not automatically create an entitlement to a full or partial refund of the annual membership fee. Any applicable entitlement will be considered under the circumstances, applicable consumer law and the Club's Refunds & Cancellations Policy.
Nothing in these Terms limits an applicant's or member's statutory rights. Where applicable law gives an online applicant a cooling-off or cancellation right, including a 14-day cancellation period where it applies, the Club will honour that right and provide the information and refund required by law.

Changes to membership details
Members must notify the Club when important membership information changes. This includes changes to:
- name;
- address;
- telephone number;
- email address;
- relevant Family Social Membership information; and
- other information reasonably necessary to maintain an accurate membership record.

Data protection
Personal information supplied through membership applications and administration will be handled in accordance with the Club's Privacy Notice.
This includes information used for applications, membership administration, payments, refunds, digital membership credentials, renewals, guest administration and security or audit records.
The Privacy Notice is available before an application is submitted. The Club collects only information that is adequate, relevant and necessary for the relevant purpose.

Marketing
Membership-related service communications are separate from marketing.
Applicants and members are not automatically subscribed to optional marketing because they apply for membership, make a payment, attend as a guest or provide an email address.
Where consent is used for optional electronic marketing, it requires an active choice and is not pre-selected. Marketing consent can be withdrawn in accordance with the Club's Privacy Notice.

Essential membership communications
The Club may use the contact information provided to send communications reasonably necessary to administer membership. These may include:
- application and payment confirmation;
- requests for further information;
- approval, rejection or activation;
- changes to membership status;
- renewal reminders and expiry information;
- refund information; and
- significant changes affecting membership.

Changes to membership fees
The Club may review membership fees from time to time in accordance with its governance arrangements. Changes to future fees will be communicated appropriately.
A change in the advertised annual price will not normally retrospectively alter the price or duration of an already activated 12-month membership.

Changes to these terms
The Club may update these Membership Terms where reasonably necessary because of changes to Club operations, membership arrangements, legislation, licensing, payment systems, governance or other relevant requirements.
The current version displays its effective and review dates. Where a material change affects existing members, the Club will take reasonable steps to inform them.
These Terms are protected policy content and are not changed automatically as part of ordinary website updates.

Relationship with the Constitution and Club Rules
These Membership Terms explain the practical operation of the Social Membership scheme. They do not replace the formally adopted Constitution or Club Rules of Cogenhoe United Football Club.
Where a matter is governed by the Club's formally adopted Constitution or Rules, those documents remain relevant and take precedence where appropriate.
Nothing within these website Membership Terms grants an administrator, officer or committee powers that they do not otherwise possess under the Club's proper governance arrangements.
